TUL Library Department Promotions

This guide is a resource for TUL Library Department membership regarding the promotion process. It aims to clarify the process and provide resources.

TUL Library Department Promotion Timeline Overview

The TUL Library Department promotions process follows an annual cycle that begins in June with an informational session open to all interested LD members. Eligible librarians who wish to be considered for promotion will complete the application for promotion form anytime between July 1 and August 1.  (After submission applicants may cancel their application by notifying the Promotions Committee before September 30.)

Tulane University uses Interfolio to manage and track promotions packets. The Interfolio process is as follows:

  1. The committee will arrange for Interfolio access for candidates.
  2. An email notification will be sent to candidates when an Interfolio case is open for them. Dossiers need to be uploaded here before October 1. 
  3. The committee will review dossiers and submit their recommendation to the TUL dean via Interfolio between October 1 and November 30.
  4. The TUL Dean will review dossiers after the committee’s reviews are completed and submit a recommendation for each candidate via Interfolio.
  5. The Senior Vice President for Academic Affairs and Provost has final approval and will notify the Dean with recommendation in the spring.

Promotions Calendar and Timeline

June

  • Promotions Committee holds an information session for all members interested in the promotion process. Any materials shared and recording from each session can be found on the committee’s libguide, TUL Library Department Promotions.  

June - July

  • Members eligible for promotion review criteria and discuss their eligibility with their supervisor

July 1 - August 1 

  • Members submit the application form, for promotion consideration
  • New Promotions Committee members are elected

 August 1 - September 30 

  • Incoming Promotions Committee members begin their term on September 1 and a new chair is selected
  • Promotions Committee chair forwards candidates’ names to TUL Senior Program Coordinator HR
  • TUL Senior Program Coordinator HR arranges for Interfolio access for candidates
  • Candidates receive notification of access to Interfolio by email
  • Candidates upload documents into Interfolio
  • Supervisors’ letters are submitted to the committee chair and uploaded to Interfolio 

October 1

  • Promotions Committee will confirm dossiers are uploaded to Interfolio

October 1 - November 30.  

  • Promotions Committee reviews dossiers
  • The committee completes letters of recommendation and uploads its letters to Interfolio 

December - February

  • Dean reviews the committee’s recommendations, the candidates’ dossiers, and uploads their letters of recommendation in Interfolio

February/March - June*  

  • Provost reviews all documents and sends decisions to the Dean
  • *Finalization of Provost’s review is subject to Provost Office’s timeline

Librarian Promotion Requirements

  • A Librarian I is eligible to apply for promotion after they have completed no less than 10 months of full-time employment at rank on or before October 1.  

  • A Librarian II is eligible to apply for promotion after they have completed no less than 3 years of full-time employment at rank on or before October 1. 

    • A Librarian II not promoted to Librarian III after 5 years in rank will receive a 12-month non-renewable appointment; exceptions may be made for part-time librarians. 

  • A Librarian III is eligible to apply for promotion after they have completed no less than 5 years of full-time employment at rank on or before October 1.

    • Librarian III is considered a terminal rank and therefore, is not required to be promoted to Librarian IV.

  • A Librarian IV is the final librarian rank. 

NOTE: When a date falls on a weekend, the following Monday will be used as the date for that year. If a date falls on a university holiday, the next work day will be used as the date for that year.
